How does Groopit define a licensed user?

A licensed user means any individual for whom there is a unique Groopit user account permitting the user to share, view, or access data. Each licensed user must be assigned a unique user account and no more than one person may be permitted to use the account to share, view, or access data and Groopit.

Can you add more licensed users to your subscription?

The Groopit subscription fee is based on company size by total number of employees. It is not based on the number of licensed users; all employees at a company will be licensed to share data through Groopit. Only companies with less than 500 employees are able to purchase Groopit Essential.  If a company will less than 500 users would like additional functionality, they are able to purchase Groopit Professional or Groopit Enterprise.

      What is a use case?

A use case is where a designated group of members collaborates to accomplish specific goals or solve particular problems by sharing and using intelligence. Every member of the group is able to share and see the intelligence. For example in the Competitive Intelligence use case, every member of the group can share competitive intel and sees the competitive intel. Each use case will support up to five (5) active data-sharing workflows, facilitating unlimited data sharing to achieve their shared objectives efficiently.  The Competitive Intelligence use case can include up to five data sharing workflows such as Competitive Pricing Intelligence, Competitive Product Intelligence, and Competitor Marketing Activity.

Additional use cases can be added on to any subscription. The cost of one use case is $1,200 per year, per use case and includes up to 100 users of that specific use case. A use case that includes 1,000 or more users, of that specific use case, is $12,000 per year, per use case.

How does Groopit define a Data Sharing Workflow?

A Data Sharing Workflow is where administrators establish a data model that defines the data people share. The total number of active Data Sharing Workflows is what is measured for licensing purposes. If you are no longer using a Data Sharing Workflow, it can be made inactive. Inactive workflows are not included in the count of total active Data Sharing Workflows. Every use case includes up to 5 active Data Sharing Workflows.

      How do True-Ups work?

During the subscription term, you are allowed to exceed prepaid subscription capacity with no limitations. This capacity applies to the number of use cases deployed. At the end of each calendar month of the subscription, you agree to align your subscription capacity to actual usage. If your actual usage exceeds prepaid license volume, you will be subject to a True-Up Charge.

The True-Up Charge is calculated by multiplying your True-Up Quantity by a True-Up Rate pro-rated to the remainder of your Subscription Term (calculated by taking the number of remaining calendar days in the Term and dividing by 365). The True-Up Quantity is the difference between your Actual Usage Volume as measured on the last day of the calendar month and your prepaid subscription capacity. True-Up Rates are documented in the Sales Order. Any True-Up Charge will be invoiced or charged through the established payment method and net payment Terms.

      For example:

Groopit Professional includes 1 Use Case with subscription term 1/1/2022-12/31/2022. On March 31, 2022, the Actual Use Case Volume is 2 Use Cases. Customer is charged $12,000/year for the additional use case prorated for the remaining 275 calendar days of the Subscription Term for a total invoiced amount of $9,000.00.
